Offer and acceptance

The employer and apprentice or trainee agree to undertake an apprenticeship or traineeship.

Selection of partners

The employer and the apprentice or trainee select an Australian Apprenticeships Centre (AAC) and nominate a supervising registered training organisation.

Sign-up

The employer, supervising registered training organisation or the AAC can initiate the sign-up for the apprenticeship or traineeship.

Induction information must be provided before a training contract is approved and registered by the Department of Education and Training (DET). This induction information ensures the employer and the apprentice or trainee are fully aware of their roles, rights and responsibilities under the training contract.

Induction information can be provided by supervising registered training organisations, AACs or group training organisations. Induction information does not have to be provided face to face. There is no need to induct an employer or employee who is already familiar with their role, rights and responsibilities.

Employer resource assessment

During the development of the training plan, an employer resource assessment must be undertaken by the supervising registered training organisation. This assessment confirms the employer's capacity to provide appropriate on-the-job training and support to meet the requirements of the apprenticeship or traineeship.

An employer resource assessment can be based on the supervising registered training organisation's existing knowledge of the employer. If no previous relationship exists, a telephone call or visit should be made to perform the assessment.

Lodgement of training contract with an Australian Apprenticeships Centre

Training contracts must be lodged with the AAC before the end of the probationary period.

The AAC is responsible for ensuring they receive advice from the nominated training organisation agreeing to be the supervising registered training organisation.

Additionally for a school-based apprentice or trainee, the AAC must sight a completed and signed Education, Training and Employment Schedule (ETES) available on the Apprenticeship Info website. The ETES must show the impact the employment and/or training arrangements of the apprenticeship or traineeship, will make on the student's school timetable.

A training contract for a school-based apprentice or trainee can not go ahead without the agreement of the student’s school.

Lodgement of training contract with DET for registration

Once the AAC is satisfied all registration requirements have been met, the AAC electronically lodges the training contract details with DET.

DET checks the training contract details and any queries are directed back to the AAC. If everything is satisfactory, the training contract is registered. An approval notice is sent to the employer, apprentice or trainee and their parent/guardian (if applicable), and for school-based apprentices or trainees an approval notice is also sent to the school.
