Cancelling all or part of your registration
Removing selected qualifications from your scope
During the life of your registration you may decide to remove qualifications, courses or units of competency from your scope. To do this, simply notify Registration Services by completing an RTO2 form. If however, you wish to remove any training product from your scope while you have existing students, you must ensure that students who have completed their studies have been issued with the AQF qualification or statements of attainment to which they are entitled.
If there are existing students who are not able to complete their studies, you must make arrangements to transfer students to another RTO prior to the removal of the training product from your scope. You must also formally notify each student of the transfer arrangements you have made and obtain their agreement to those arrangements, including any refund of fees required. Note that you cannot remove a training product from your scope of registration without finalising these requirements.
Voluntarily cancelling your registration
If you wish to voluntarily cancel your registration as a registered training organisation you must apply in writing to the Training and Employment Recognition Council (Council). Written advice can be provided by completing the Request voluntary cancellation of registration form.
Obligations
In Queensland if you choose to voluntarily cancel your registration as a registered training organisation, there are a number of obligations you are required to meet in order to finalise the cancellation of your registration. These include:
- making arrangements for all current students to receive a copy of their student records including, if not previously issued to students:
- an award for each qualification attained
- a statement of attainment for any units of competency completed in partial completion of a qualification.
- forwarding to the department, an electronic and/or hard copy of the following information for each student who has undertaken nationally recognised training with your organisation since initial registration:
- If providing in hard copy, records should include:
- a list of all students which includes student identifier (date of birth, address etc)
- the qualification, course, and/or statements of attainment completed by the student
- the date of issue.

If providing electronic student records:
- the full name of each student and an identifier (date of birth, address etc)
- the name and national code of qualification(s) issued
- the date on which each qualification, course or statements of attainment were awarded.

the Certificate of Registration must also be returned to the department at the address listed on the voluntary cancellation form.
